Commercial Real Estate Brokerage

Brokerage operations, re-engineered.

Challenge

Centralize fragmented data and documents, then rebuild the end-to-end deal workflow so the brokerage can scale deal volume per broker.

Six systems, one platform

  • Centralized six fragmented systems: the brokerage's knowledge was scattered across email, chat, CRM, cloud storage, and separate market and listing tools, so brokers spent hours per deal reassembling context. We moved that data, plus years of leases, LOIs, and proposals, onto one private platform.
  • Mapped the brokerage and found the bottlenecks: we charted the communication flows, the roles and responsibilities, the tools, and the workflows across every stage of a deal.
  • Rebuilt the deal workflow: brokers find qualified sites, build tour books, and create proposals with AI recommendations drawn from the brokerage's past deals, and more, all from one platform.
  • Nothing left to memory: every correspondence is recorded, so knowing when to follow up or when a lease is expiring is part of the system.
One platform built around the firm
EmailChatCRMDocumentsListingsMarket data
Hands-on time per deal cycle
Site selection75% less

Market and listing data pulled manually into one-off spreadsheets, then reconciled against client criteria.

Touring75% less

Tours scheduled by hand across email, texts, and phone calls, every reschedule a fresh round of coordination.

Proposal creation83% less

Every proposal rebuilt from a blank document, comps, terms, and boilerplate re-keyed deal after deal.

Outreach75% less

Follow-ups and broker outreach drafted one message at a time, from memory and scattered notes.

Negotiations63% less

Deal context reassembled from six tools before every call: emails here, terms there, history somewhere else.

Redlining80% less

Leases and LOIs read and marked up by hand, clause by clause, with no memory of how the firm handled it last time.

Results

  • ~75%less hands-on time across the six stages of the deal cycle, reinvested in deal volume
  • 6 → 1tools and document stores unified into one platform built around the firm
  • Compoundsevery deal, document, and engagement leaves the platform more accurate than it found it

Where it's going

How each deal compounds the platform
  1. 1More deals flow through one platform
  2. 2More, and more accurate, data captured
  3. 3Sharper AI autofill, search & review
  4. 4Faster, cleaner deals, with less effort

Same brokers, same standards, but the busywork between the judgment calls now runs on the platform. Because everything lives in one place, brokers stay on top of every deal without chasing it across six tools, and staying organized stops being a chore. The platform evolves over time. Every deal and document that flows through it leaves it more accurate. The autofill drafts from a deeper well of real proposals, the search returns sharper precedent, and the review layer recognizes more of what the firm has seen before. None of it resets if a broker leaves.

Lightning finds the opportunities, Zenith builds the solutions, and Partnership keeps it evolving.
